ADMISSIONS & FEES POLICY
Meadow Primary Out of School Care Club is registered with OFSTED; our registration number is 122498. We provide care for up to 140 children per session between the ages of 3 and 11 from Meadow Primary School.
Places are offered on a first come, first served basis with siblings taking priority. When all places have been filled a waiting list will be established, the waiting list is in date order.

Registration
When an enquiry regarding places is made, parents or carers will be given all the relevant club information including:

Information regarding availability of places

Details of the admissions and fees policy

Registration link including permissions and terms and conditions

Complaints Policy
Parents are welcome to visit the club for an induction by appointment, as soon as the booking or contract is completed the child will be able to attend the club.

If no places are available, the parent will be informed and the child’s name added to the waiting list, as soon as a suitable place becomes available parents will be informed.

Booking procedure
Parents must register their child/children on kidsclub HQ before they can attend the club.

Breakfast and after school club
If you are offered a place at breakfast or after school club you will be invited to create a contract for the sessions offered. If a child does not attend for any reason you will still be charged for the session. If you wish to cancel your contract we will require one week’s notice in writing.ï‚·

Holiday Club
Children from any school can attend the holiday club, the child must first be registered on kidsclub HQ and then the parent/carer can make the booking direct on kidsclub HQ for the sessions they require. We have a no cancellation policy in place for holiday club however we will try and accommodate a swap where possible.

Fee Structure
Fees are charged per session at the following rates:
Breakfast club (Main club) - £6.50 Pre-school - £8.00
After School Club (main club) - £11.00 Pre-school - £14.00
Holiday Club - £30.00 Pre-school - £45.00

The club recognises that childcare can be costly so we encourage eligible parents or carers to claim the childcare element of Universal credit. We are also registered to the Tax-Free government childcare scheme.

The club is a non-profit organisation and our goal is to provide quality childcare at an affordable price.

For contracts - fees are payable monthly in arrears, invoices are issued on the 15th of every month and payment must be received by the last day of that month.

Holiday club Bookings must be paid at point of booking

Fees can be paid by electronic transfer, childcare vouchers or cash

There is a charge of £1 per minute for late collection which will be added to the next invoice

Fees are charged for booked sessions whether the child attends or not

Payment of Fees
Fees are reviewed annually by the committee. The club will consider requests for variation to payment terms on an individual basis. Anyone making requests should contact the manager at the earliest opportunity. Any queries regarding fees should be directed to the manager or business manager.
If fees are not paid, the club will write to the parent or carer requesting payment. If the parents or carers are having difficulty making the payment on time we recommend that they arrange a meeting with the manager as soon as possible.
Where there is no explanation for repeated late payment, the manager will contact the parents or carers to discuss payment options. The manager may issue a formal warning to the parent or carer informing them that continued late payment will result in their child’s place at the Club being withdrawn.
If the fees remain unpaid after all the above options have been explored, the club may have to cancel the child’s place.
